Staff Recommendation: Move that the Council approve Amendment #1 to Contract #20240079 for Venue Analytics Platform.
Alternate Recommendations:

2. Move that the Council not approve Amendment #1 to Contract #20240079 and provide staff with direction.
Background: Placer.ai is used by multiple City departments/divisions (Parks & Recreation, the City Manager’s Office, Business Development, Special Events, MIDFLORIDA Event Center, and Saints Golf Course). In the case of the Parks & Recreation Department, attendance information to programs and events relied heavily on visual estimations via trained Department staff and by the Police Department. In an attempt to increase the reliability of these numbers, and to gain additional data (i.e. demographics, travel routes, etc.), the City researched and procured a solution with Placer.ai. At the end of the first year of the Contract, Contract renewal has come up, and Staff’s recommendation is to move forward with renewal.
Issues/Analysis: More than six City Departments/Divisions have heavily utilized the Placer.ai platform in the first Contract year, and the data attained has been critical in ongoing data-driven decision making and strategic planning.
Financial Information: General Fund, General Government, Other Contractual Services, 001-1900-534000-00000.
Special Consideration: For the previous term of this Contract, the expenditure was under the threshold for City Council approval. However, the desire to retain the Placer.ai Venue Analytics Platform and renew the Contract brings the Contract over the $100,000 threshold, requiring Council approval under City Code of Ordinances, Section 35.09(a).
