2. Parties: City of Port St. Lucie and UKG Kronos Systems, LLC.
3. Purpose: The purpose of this is to utilize UKG as the City’s primary solution for timekeeping and workforce management, ensuring accurate timekeeping, streamlined processes, and improved operational efficiency.
4. New/Renewal/Modified: New.
5. Duration: The Contract shall be effective upon execution through July 13, 2029, with the option to renew for three (3) additional one-year periods through July 13, 2032.
6. Benefits to Port St. Lucie: The City has utilized Kronos/UKG for several years and recently migrated to the UKG Cloud platform. Established payroll processes are fully integrated with this system, and continuing its use will ensure seamless payroll operations without disruptions.
7. Cost to Port St. Lucie (Annual and Potential): The estimated total expenditure under the entire Contract term is $240,000.00.

Staff Recommendation: Move that the Council approve, per City Code of Ordinances, Section 35.08(a)(9)(a) (cooperative exception to formal bidding), to participate in the OMNIA Cobb County Contract #24-6833 with UKG Kronos Systems, LLC for Human Resource Information Systems and Related Products and Services.
Alternate Recommendations:
1. Move that the Council amend the recommendation and approve participating in the OMNIA Cobb County Contract #24-6833.
2. Move that the Council not approve and provide staff with direction.
Background: Ultimate Kronos Group (UKG) is a leading global provider of human capital management (HCM), payroll, and workforce management solutions. UKG provides proprietary hardware for physical workplace tracking. The City has implemented UKG time clocks throughout all City facilities.
Issues/Analysis: UKG has demonstrated a strong track record of performance and has been a trusted partner to the City. Beyond cost efficiency, UKG has supported the City in maintaining and advancing its technology to align with current industry standards. UKG time clocks automate the process of collecting employee in/out punches, reducing manual data entry errors associated with paper timesheets. This automation streamlines timekeeping and payroll, freeing up HR staff and managers to focus on more strategic initiatives.
Financial Information: Funds are appropriated in General Fund/IT/Computer Software & Accessories (Account #001-1320-552201-0000).
